Main Tasks and Key Responsibilities
- Process bi-weekly payroll for 200 employees (across multiple companies);
- Verify and correct timesheets in the Clearview time management software.
- Verify, correct, and ensure data accuracy after transferring timesheets to the Deluxe Payweb payroll system.
- Resolve routine payroll issues and liaise with relevant parties.
- Serve as the first point of contact for employees and managers regarding payroll and timesheet questions.
- Manage and update employee records (hiring, terminations, changes, etc.);
- Create new employee profiles in the system and related payroll records;
- Manage salary increases (create increase records, enter increases in Clearview and Payweb, inform employees, update salary increase files, etc.);
- Manage leaves and absences (vacation calculations, statutory holiday calculations when needed, time banks, sick leave, family obligations, maternity/paternity leave, etc.);
- Handle terminations and manage Records of Employment (create, amend, file, liaise with Service Canada, etc.);
- Perform CNESST calculations in case of workplace accidents;
- Manage garnishments such as child support and other deductions;
- Administer the VRSP (Voluntary Retirement Savings Plan) program for employees (register on the Industrial Alliance portal, provide information to employees, follow-ups, activation, remittances, etc.);
- Annual production of tax slips (T4, T4A, R1, R3, T5, T4A-NR, T2200);
- Participate in year-end payroll file preparation;
- Contribute to the continuous improvement of payroll procedures (multi-company);
- Participate in pay equity exercises;
- Perform any other tasks or projects related to payroll and human resources.
Required Competences and Skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams);
- Strong written and verbal communication skills in French;
- Functional written and verbal communication skills in English to support English-speaking employees;
- Membership in the Canadian Payroll Association (a strong asset);
- Excellent attention to detail, precision, and organizational skills;
- Discretion and impeccable work ethics;
- Collaborative, reliable, methodical, and rigorous work approach;
- Analytical mindset and deep understanding of payroll intricacies;
- Strong team spirit, ability to work well under pressure, and meet deadlines.
Education
DEC in accounting or equivalent education and experience; Over 3 years of experience in a similar role;
Schedule
Permanent full-time position (40 hours per week)
Monday to Friday, from 9:00 AM to 5:00 PM (on-site)
